Purchase Ledger Assistant
e are looking for a dedicated and detail-oriented Purchase Ledger Assistant to join our Purchase Ledger team within the CAT Trading Group. In this role, you will process high volumes of invoices, manage multiple ledgers, and contribute to the successful integration of our new ERP system. Working in a hybrid model, you’ll spend two days working from home and three days in our office, collaborating closely with a team of five under the guidance of the Purchase Ledger Manager.
What You’ll Do:
Invoice Processing and Matching
- Process supplier invoices, ensuring they match purchase orders and delivery notes for accuracy.
- Send invoices for approval and prepare documents for weekly or monthly payment cycles.
Documentation and Record Management
- Collect and organise supporting documents from suppliers and internal departments.
- Scan, archive, and maintain electronic records of invoices and related documentation.
Supplier and Internal Team Collaboration
- Work closely with suppliers and internal teams to resolve any queries related to invoices or payments.
- Manage the Purchase Ledger inboxes to ensure timely responses to requests.
Reconciliation and Payment Management
- Conduct monthly statement and intercompany reconciliations, ensuring accurate and timely records.
- Raise weekly and monthly payments as required, handling multi-currency transactions (Sterling, Euro, USD).
Query Resolution and Ad Hoc Support
- Investigate and resolve any aged queries within your ledgers, ensuring issues are quickly and effectively addressed.
- Support the team with ad hoc duties as needed to maintain smooth operations.
About You:
- Experience: Prior experience in a Purchase Ledger or Accounts Payable role, ideally with high-volume invoice processing.
- Organizational Skills: Strong attention to detail and excellent organizational skills to manage multiple tasks and deadlines.
- Communication: Clear, professional communication skills for liaising with suppliers and internal teams.
- Multi-Currency Experience: Familiarity with multi-currency transactions (Sterling, Euro, USD) is advantageous.
- Team Player: Collaborative attitude with the ability to work independently when needed.
